Microsoft has announced that its workplace management solution, Places, is now generally available to bolster hybrid and flexible working.
Unveiled at this year's Microsoft Ignite event, Microsoft Places brings AI-powered location insights to Teams and Outlook, enhanced by Microsoft 365 Copilot. This innovation seeks to help employees optimise their in-office days to foster more meaningful in-person connections.
Additionally, it aims to provide admins with a better understanding of hybrid work patterns and space utilisation, enabling more informed workplace management decisions.
Places was initially launched in public preview in May, where Jared Spataro, Corporate Vice President, AI at Work at Microsoft, wrote in an accompanying blog post:
With Microsoft Places, an app that reimagines flexible work, AI can make coordinating in-office time and connecting with coworkers even easier(...) In addition to fostering improved coordination and connection, Places optimizes the effectiveness and engagement of the workplace."
Microsoft Places introduces several notable features designed to streamline hybrid work and enhance collaboration.
One of the standout capabilities is "Recommended In-Office Day with Copilot". This feature uses AI to suggest the best days for employees to work from the office, factoring in scheduled in-person meetings, team guidance, and collaborators' planned attendance. These recommendations are displayed on the Places card within the unified calendar, helping employees optimise their in-office experience.
Another key feature is "Managed Booking with Copilot", which simplifies the meeting room reservation process. Microsoft suggests Copilot takes care of booking rooms for both single and recurring meetings, handling updates, changes, and conflicts. This aims to ensure that meetings always have the appropriate space allocated, making scheduling easier and more efficient for everyone involved.
"Workplace Presence" adds another layer of functionality by allowing employees to update their location status to "office" or specify a particular office site. This feature helps coordinate in-person meetings and interactions. With user permission, employees can see where their coworkers are working and identify who is nearby, facilitating meaningful face-to-face connections.
The platform also includes "Places Finder", an improved tool for booking rooms and desks. Microsoft says it offers added value through features like space images, building floorplans, and information about available technology. Users can filter their search based on their needs, making it easier to find the right workspace.
Lastly, Space Analytics empowers admins by affording insights into intended versus actual occupancy and space utilisation. This data intends to enable more effective decision-making around workplace management, helping to optimise office space for hybrid work patterns.
Microsoft is introducing a new capability to Teams called "Storyline". The company's announcement asserts that it will simplify "the ways that leaders and employees share and connect with colleagues across the company, increasing visibility and engagement".
Microsoft points out that employee communications are frequently scattered across various platforms, causing frustration, delays, and information overload. To tackle this issue, the Storyline integration is designed to centralise communications within Teams. It aspires to enable employees at all levels to follow leadership updates, receive notifications, discover content, share their ideas and perspectives, and express themselves -- all in one place.
The integration is set to launch in preview early next year.
Teams is also receiving several notable updates around boosting collaboration for multilingual teams.
Meeting transcription will soon accommodate up to 51 spoken languages and 31 translation languages. Participants can select their preferred languages, and the transcript will accurately capture the conversation, regardless of which languages are spoken.
Teams is also being enhanced with more sophisticated live caption translated captions and transcripts capabilities. These features will enable real-time translation during multilingual meetings, supporting seamless communication. They will be available on Teams desktop, web, and mobile apps next year.
Lastly is an upgrade of intelligent meeting recap translations. Users will receive automatically generated meeting recaps in their chosen translation language. The translation language can also be adjusted from the Recap tab. This feature will also launch next year on Teams desktop, web, and mobile platforms.
Currently in private preview, these updates will soon support multilingual meetings.
Microsoft 365 is introducing new agents to simplify complex business processes. These include agents for SharePoint, Planner, and an Employee Self-Service Agent that addresses workplace policy questions.
Meanwhile, specific to Teams, the Facilitator agent in Teams meetings takes real-time notes and shares key insights, currently in preview. Set for early next year, the Interpreter Agent will provide real-time translation in Teams.
Moreover, Microsoft 365 Copilot advances include task automation, content summarisation in Teams, and enhanced PowerPoint features like Narrative Builder and multilingual translation. Excel gains spreadsheet templates, and Outlook updates streamline meeting scheduling. OneNote organises multimodal notes, and Copilot Pages support rich content creation.
For IT admins, Copilot in Microsoft 365 Administration Centres (Copilot in MAC) simplifies routine tasks and generates insights. It is currently available in preview and will expand next year. Copilot Analytics and an enhanced Prompt Gallery further support data-driven decision-making.
